Picture the scene: You’re an IT Manager at a small business, and you have three boxes of old laptops collecting dust in storage. You haven’t had the time to sort through them, and you aren’t sure whether the data has been wiped.

The Six Stages of the IT Lifecycle

There are six main stages in the lifecycle of an IT asset:

Planning

Before you buy anything, it's worth taking a step back and asking: what do we actually need?

It sounds obvious, but poor planning at this stage costs businesses real money. Buy devices that are more powerful than the job requires, and you've overspent. Buy the wrong ones, and you'll be replacing them sooner than expected. Either way, you lose.

Get your finance lead and department heads involved early. The budget decisions made here ripple through every stage that follows, so it's much better to have the right people in the room from the start.

Procurement

Once you know what you need, be deliberate about what you buy. We'd suggest sticking to two or three device models across the business rather than letting everyone pick their own preference. It might feel restrictive, but when a device needs repairing, updating, or eventually reselling, having a consistent fleet makes everything significantly easier and cheaper to manage.

Deployment

When the devices arrive, resist the urge to just hand them out and crack on. Setting things up properly at this stage saves a lot of headaches later. There are three things to do for every device:

  1. Install the software your team needs
  2. Set up your security measures
  3. Register the device in your asset log

This third step is the one most businesses skip, and it's a mistake. If you don't record what you own, who's using it, and what it's worth, you're managing blind. You don't need anything complicated to get started. A simple spreadsheet with each device, its assigned user, and its approximate value is enough to give you a genuine picture of what you're working with.

Utilisation & Monitoring

With your devices logged and deployed, you're now in a position to actually keep on top of them. When a software update is due, a repair is needed, or a member of staff needs help, you can act quickly rather than scrambling to find out what you've got and where it is.

There's a financial case for staying on top of this too. Devices don't usually fail overnight. They slow down gradually, becoming less reliable and more disruptive over time. Catching problems early through routine maintenance is almost always cheaper than dealing with a failure after the fact.

One thing worth flagging here: when a member of staff leaves or moves to a different role, their device needs to come back, be fully wiped, and be reassigned. This isn't optional. At some point, devices will need replacing. When that time comes, don't swap everything out on the same day.
